Responding to a defamatory review without making it worse

The public response and the removal process are two different tracks, and confusing them is how a review stays visible longer than it needed to.


A defamatory review creates two separate problems: what's visible right now to anyone who sees it, and what the actual removal process — flagging, POHA, a letter of demand — will resolve over the following days or weeks. Handling the public-facing piece well matters independent of how the removal proceeds.

Why silence isn't neutral

An unanswered negative review, particularly one with specific false claims, can read as tacit agreement to anyone who finds it before removal completes. A brief, calm public response fills that gap without needing to resolve the underlying dispute in public.

What a good public response actually says

Acknowledge the review exists, state plainly and without hedging that the account is inaccurate, and invite the reviewer to contact you directly to resolve it. That's the entire structure. It doesn't argue point by point, doesn't share private account or transaction details even to disprove a claim, and doesn't speculate about the reviewer's motives — all three of those risk revealing information or escalating in a way that a calm, brief response avoids entirely.

What to specifically avoid

Detailed factual rebuttals in public. Beyond adding content search engines index alongside the review, a detailed rebuttal sometimes reveals internal information not otherwise public, and can read as disproportionate to anyone encountering the exchange cold.

Matching an escalating tone. If the reviewer responds aggressively, a single calm reply — or none at all — beats an escalating back-and-forth every time. The thread itself becomes more visible and more indexed the longer it runs.

Legal threats in public. Beyond looking heavy-handed, a public threat can complicate the actual legal process — it's read by the same court or platform reviewing the eventual takedown request.

Running both tracks together

The public response and the removal process should run in parallel, not sequentially.
